Set classification rules

Guide classification with rules for one client or for your whole firm.

Choose the right scope

A rule for one client belongs with that client. A general firm policy belongs in the firm’s settings. Check the scope before adding a rule.

Add a client rule

Open the client and go to Integrations → Exact Online → Classification. Add a short, specific instruction in the rules section.

Describe what AirBill should recognise and which choice should follow. Use only account numbers and codes that fit this client’s administration. Avoid vague instructions such as “always book this correctly”.

Manage firm-wide rules

Go to Settings → AI Rules. These rules apply in addition to client rules across your firm’s clients.

Only an administrator can add or remove firm-wide rules. Other team members can view them. Do not put an exception for one client into a firm-wide rule.

Limit choices when needed

The client’s classification settings also let you choose the scope of general ledger accounts, VAT codes and journals. Journal instructions provide extra context for selecting a journal.

Review the resulting classification on relevant entries. Adding a rule does not confirm that an existing entry in Exact has changed. Check the entry’s status before taking further action.
