Connect Exact Online
Connect a client’s administration and check bank journals, starting points and defaults.
Open the client’s integration
Open the client and go to Integrations → Connect Exact Online. Make sure your Exact account can access the correct administration.
Setup has three steps. Review the suggested values before completing it.
1. Connect the administration
Sign in to Exact and choose this client’s administration. AirBill then retrieves its general ledger accounts, VAT codes, journals and contacts.
2. Check bank accounts and starting points
Map each bank account you want to process to the correct bank journal. AirBill can suggest an existing journal based on the IBAN. Check that it belongs to the right account.
If no suitable journal exists, setup can offer to create one. An unmapped account is skipped until you map it.
Check each journal’s proposed starting point. For journals with existing entries, AirBill must continue from the last entry and its closing balance. The client’s books start date does not replace this check.
3. Check the defaults
Review the transit account, purchase journal and sales journal. Complete setup only when these choices and the bank starting points are correct.
Avoid overlapping bank entries
Agree which source will update the bank journal after the starting point. An existing bank feed or manual statement import in Exact must not keep posting the same transactions alongside AirBill.
If AirBill finds an entry from another source at the end of a journal, pushing can be paused. Read the integration’s message and check the journal continuity before continuing. Do not remove historical entries without establishing what happened first.
Check the suggested starting point
Compare the last Exact entry’s number, date and closing balance with the proposed AirBill bank transaction. The suggestion uses the closing balance; matching balances alone do not prove that you selected the correct transaction.
If the suggestion is wrong, open the alternative picker. Select the Exact entry and corresponding local transaction, then inspect their dates and balances before confirming. The local list initially favors matching closing balances; showing all candidates does not make a balance difference safe to ignore.
The option to start from the beginning uses AirBill’s earliest available transaction for that account. Use it only when the journal should receive those transactions, not as a workaround for existing history or a loading error. Check the saved mapping and starting point after confirmation.
